The Lodge is our only picnic shelter that may be rented throughout the year.
Park Hours: 7:00 am to 10:00 pm.
Shelter Reservation Policies:
Reservations are taken begining on (January 1st), for each calendar year.
All fees must be paid at the time of placing reservation.
ALL RESERVATIONS ARE FINAL – REFUNDS ARE NOT PROVIDED FOR CANCELATIONS.
Reservations are for the picnic shelter structure only (does not include grounds/adjoining amenities).
Extra dining tents/structures are prohibited.
Reservation times include set-up and clean-up.
Shelter Rules and Regulations
Contracts:
All Lodge and Shelter Renters are required to date and sign the contract.
The Conservation Board must have a signed contract in our office prior to the rental period in order for you to gain access to the Lodge.
Alcohol Policy:
No Keg or Glass Bottled beer allowed in Madison County Parks.
Carry-In / Carry-Out Policy:
Requires all park users to take their garbage/waste with them when leaving the park.
This policy includes groups renting shelter and lodge facilities.
Decorations:
Use of tacks, nails, staples, etc., are strictly prohibited.
Decorations are permitted inside the Lodge only, and are not to be attached to adjoining facilities and/or natural vegetation.
Directional signs are not to be attached to natural vegetation, park areas signs/posts or roadside or traffic signs/posts.
Due to digestive hazards to wildlife in the parks, the use of foil/metallic party confetti is strictly prohibited.
Clean-up of facility must be completed no later than end of rental period listed on contract.
Make sure those people responsible for decorating and clean-up are aware of these regulations.
Fireplace Care:
Before starting a fire, check to see that the chimney damper is OPEN! Before leaving, make sure your fire is reduced to ashes – DO NOT USE WATER!!
Play Areas:
Do not allow children to use bathrooms and landscape beds as play areas.
Damages to facilities are expensive and repair costs will be assessed to the group renting the facility.
Grill Care:
Before leaving, make sure your fire is reduced to ashes- DO NOT USE WATER!!
Cleaning & Closing:
Wipe all moisture from walnut tables & benches.
Sweep floor, take your garbage with you.
Turn off all lights, lock all doors and windows before leaving.
Lock Padlocked Door Last – all other doors & windows lock from the inside.
Failure to clean & lock building will result in a service fee assessed to the renter listed on contract.
Exclusive Use of Facility:
Your facility reservation applies only to the shelter building listed on your contract.
Surrounding grounds and adjacent park facilities (bathrooms, picnic grounds, etc) are available for all other park users.
No Additional Tents:
The use of additional tents/temporary structures for dining, catering, etc. is prohibited.
RULES GOVERNING SHELTER USAGE:
Purpose: This rental agreement governs the use of picnic shelters located in Madison County Parks. The term picnic shelter includes the use of all support facilities such as tables, grills, furniture, appliances, etc. The rental applies only to the shelter facility named below and does not include exclusive use or control of other facilities or areas within the park.
Applicability: This agreement is applicable to all persons/groups wishing to reserve and use shelter facilities. Credit card payment is required for all telephone reservations. ALL RESERVATIONS ARE FINAL – NO REFUNDS ARE PROVIDED. Full refunds will only be awarded if rental must be canceled by Lessor due to structural damage or park closure. Signed contract by lessee must be provided to lessor prior to rental period and shelter access.
RULES & REGULATIONS
1. The lessee agrees to not deliberately or negligently destroy, deface, damage or remove any part of the leased property or knowingly permit another person to do so. Any damages and needed repairs shall be reported to the lessor. Repairs will not be attempted or permitted by the lessee.
a) Rental Fee/Damages: If it is necessary for Conservation Board personnel, or Board contractors, to conduct a special cleanup of the shelter facility and area and/or repair any damage, a log of time spent in such cleanup or repair will be kept. An additional fee equivalent to the applicable hourly wage of the employees, or contractor cost, for the time necessary to clean the facility/area and/or repair damages (including costs of replacement materials) will be charged to the lessees credit card. The amount of the initial rental fee is not to be construed as a limit of liability for damage to County property.
2. The lessee agrees to accept the leased facility in the condition as is and to return the facility to lessor in the same condition obtained.
a) Decorations & Signs: All decorations, signs, etc., must be attached using only a non-marring tape. Use of nails, tacks, glue, etc., on any part of the shelter, tables, adjoining facilities, trees, shrubs or other natural resource structure is strictly prohibited. Decorations, signs, etc., must be removed no later than the termination of the rental period. PROHIBITED ITEMS: Foil/metallic confetti Hay/straw bales
3. Lessee shall assume responsibility to assure that Park Rules, and County and State laws are complied with in the conduct of persons during the period covered by this rental agreement.
4. Continuation of the rental period shall be contingent on the persons involved complying with all applicable Park, County and State laws and rules and regulations of this rental agreement.
5. Except as to the lessor’s negligence, the lessee shall protect, indemnify and save harmless the lessor any and all loss, costs, damages, and expenses occasioned by, or arising out of, any accident or other occurrence causing or inflicting injury and/or damage to any person including the lessee, their agents or employees or to any property, happening or done, or due directly or indirectly to the lessee’s use of this facility under this Agreement, whether by agents, employees or otherwise.
6. Additional catering or dining tents or any other additional structures are prohibited.
7. By the end of the rental period, lessee agrees to clean up all debris, litter and liquid spills, and remove decorations/signs. All Madison County Parks have a “Carry-In/Carry-Out” trash policy that applies to group shelter rentals as well.
AUTHORIZATION
I/We the undersigned, being of legal age (21) or older, agree not to interfere with other use of park facilities and park users, and agree to all rules, regulations and conditions of this Agreement.
REMINDER: A valid credit card (VISA or MasterCard only) is required to serve as your damage deposit. By signing this agreement you are authorizing the Madison County Conservation Board to assess damage/cleanup and repair and/or replacement costs to your credit card if you fail to properly clean and care for the shelter facility during your stay. You may choose to pay your normal rental fees by cash, or credit card.
Exception: All telephone placed reservations require credit card payment only.
