GREETINGS VENDORS & EXHIBITORS!

Our 53rd Annual Winterfest Conference is fast approaching. This year’s event is to be held January 28 - 30, 2025 at the Hyatt Regency Coralville Hotel & Conference Center. WINTERFEST 2025 VENDOR OPPORTUNITIES:

1. EXHIBITORS - We are happy to have vendors as part of this conference experience. The best way to promote your products is to get them in the hands of those that use them! One Exhibitor Fee covers all three days of the conference. Come for the entire conference (you are welcome to attend any sessions for free as long as they do not have a separate cost or size limitation), or just a portion of the conference if that is what works best for you. Most of the attendees will be arriving at the convention center late morning on Tuesday in time for the opening keynote speaker after lunch. Wednesday is the big day of the event with total attendance of about 350 - 400 people expected. Sessions run all day on Wednesday. Thursday is a half day of sessions; attendance usually drops approx. 15-20% for the last day of the workshop. 2. RAFFLE PRIZES - We always welcome donations of gift cards or merchandise for our annual raffle. You do not have to be an Exhibitor in order to donate an item for the raffle. If you can't come this year, but still want to get your name or merchandise out there, this is one way to still be involved!

All sponsorships over the $700 threshold include:

• 2025 ICCS Preferred Vendor Membership (Calendar Year)
• Exhibitor Registration Fee, Space & Wednesday lunch at Winterfest 2025

LODGING: A block of rooms has been reserved at the Hyatt Regency Coralville Hotel in Coralville, IA. Room rates are $110/night, plus tax. Rooms may be reserved by calling the Hotel at (319) 688-4000, OR by CLICKING HERE to enter the room block for online booking. The cut-off deadline for room reservations is January 1, 2025 – please book your rooms early to ensure availability.

TUESDAY, January 28th - 8:00 AM Set-Up; 9:00 AM - 5:30 PM Exhibit Time

WEDNESDAY, January 29th - 7:30 AM Set-Up; 8:00 AM - 5:30 PM Exhibit Time

THURSDAY, January 30th - 8:00 AM Set-Up; 8:00 AM - Noon Exhibit Time

TIPS FOR FILLING OUT THE VENDOR/EXHIBITOR REGISTRATION:

• Enter "1" (or more) for Attendee Count to get started
• When the option to choose "County" appears, select "Other" and then enter the name of your business - Thanks!
• The Mailing Address may be that of the centralized or "Home" Office
• When filling out the registration Information - provide the name and contact information of the person from your organization /business that will be present at Winterfest. List the Phone Number & Email Address where this person can be reached.

• NO CHARGE for additional representatives at your booth - but you must register them by selecting "Additional Person at Booth" during registration.
• Standard Exhibit Space includes one 6' skirted table, two folding chairs and one Wednesday lunch meal
